Equipment Loan Policy and Guidelines

This Supporting Policy outlines equipment loans from the IT Service Desk. 

This Supporting Policy applies to all Hobart and William Smith members, as defined in the Colleges' Responsible and Acceptable Use of Electronic Resources Policy ("Acceptable Use Policy"), that are issued credentials (i.e. username and password) to access the Colleges network, technology infrastructure, or Electronic Resources as defined in the Colleges' Acceptable Use Policy. This Supporting Policy is intended to supplement the Acceptable Use Policy. Defined terms within this Supporting Policy have the same meaning as their definition in the Acceptable Use Policy. 

 

For Students

The Service Desk has a variety of equipment available for loan to students, faculty, and staff. This includes items such as projectors, projector screens, Mac video adaptors (to VGA/HDMI), iPads, laptops (Mac & Windows), video cameras, tripods, digital cameras, PowerPoint clickers, speakers, and webcameras. 


The Service Desk has two types of laptop machines HP 8470's and MacBook Air's. For more info about the machine please take a look at laptop specifications. You will need to contact your Dean's office for approval of the loan. The time period will be accommodated based on Dean's approval. 


Equipment is limited in supply and intended to support HWS curriculum and co-curricular activities. As per the Acceptable Use Policy, it may not be used for personal or commercial purposes. In all instances of requests, loaning is prioritized first to curricular activities. 


When equipment is returned or brought for inventory update, will be checked and assessed for damages. Please make sure that equipment is returned in same condition as it was provided for avoiding any charges.


Equipment is in high demand so we require that borrowers return items on time as late returns impact others, often imposing upon someone else's reservation for a class assignment. Failure to comply with the equipment loan policy will result in loss of loan privileges. 

 

Specifications and Guidelines

  • Equipment loan requests should be made at least 7 days in advance to help ensure availability. To request the equipment please submit a request through this Service Article.
  • Laptop Loans need pre-approval from your Dean's office.
  • An acknowledged agreement is required to check out equipment. 
  • Current and valid HWS ID must be presented at time of pick up. 
  • Equipment must be returned on or before the due date. 
  • Equipment must be returned in the condition it was borrowed. 
  • Replacement and/or repair costs are the responsibility of the borrower. 

 

For Faculty and Staff

The Service Desk has a variety of equipment available for faculty and staff. This includes items such as projectors, projector screens, Mac video adaptors (to VGA/HDMI), iPads, laptops (Mac & Windows), video cameras, tripods, digital cameras, PowerPoint clickers, speakers, and webcameras. 

Please put in an equipment loan request through this Service Aricle. Please include the equipment you would like to reserve and the duration of the request.

Non-compliance

Equipment that is lost, damaged, or excessively late will result in the borrower is responsible for the full replacement cost of the borrowed item(s). Replacement and/or repair costs will be the sole responsibility of the borrower. Late returns will result in lost privileges for future equipment loans.

If the laptop machine is not returned 30 days after the scheduled due date, the machine will be locked and further charges might take place. 

 

Laptop Specifications

Our Equipment is meant for loan purposes and has basic software installed. If you need any additional applications please let us know before you loan out the laptop and we will try to accommodate it. All computers are equipped and ready for an online class.
